Disposal authorities

CQUniversity is subject to various legislation that determines how long we need to retain our information. Queensland State Archives develop and approve disposal schedules to provide guidance on the minimum retention required for information of varying importance.

CQUniversity uses two schedules to determine the retention of information:

General Retention & Disposal Schedule

The General Retention and Disposal Schedule (GRDS) relates specifically to administrative records and information that all organisations create and manage.  For example; Finance, Human Resource, Information Technology, Facilities Management records etc.

University Sector Retention & Disposal Schedule

The University Sector Retention and Disposal Schedule (USRDS) relates specifically to records and information that only universities create.  For example; Student, Council, Research, Teaching and Learning records etc.

These retention schedules provide guidance on the minimum time we need to retain our information. If you believe there is a legitimate need to keep your information longer than the schedule recommends please contact the Records Team on x2686 or email: records@cqu.edu.au

Normal Administrative Practice (NAP)

Not all of the information you create or use is of long term value to the organisation.  In this regard the NAP procedures have been developed to enable the disposal of material that falls within the guideline and is considered of short term or transitory value.  For example material that is used for reference and can be retrieved from an original source i.e. copies of invoices.
